Summary of Position

Under the direction of the Nursing Education Operations Manager, the Administrator will provide administrative and logistical support to the nursing education team with all aspects of processing for Registered Nurses, Physical and Occupational Therapists working through the Avant process. 

Essential Functions of the Job 

  • Compile and maintain current and accurate information, within internal databases, for all Healthcare professionals in NCLEX-RN and CPP programs 
  • Handle incoming calls to the recruitment department and ensure calls are directed appropriately 
  • Organize, prepare and ship all study material shipments to healthcare professionals around the world
  • Arrange and administer inventory of study materials on a regular basis and work with accounting to ensure costs are allocated to appropriate HCPs
  • Manage input and scores from the Avant online exam system for all HCPs in review-process 
  • Enroll HCPs into the e-learning modules on commencement of the NCLEX-RN program 
  • Arrange and send Mail Chimp invites to HCPs in process 
  • Complete allocated expenses in the Expensify system within necessary timelines and submit reports as needed
  • Provide applicants with answers to general questions as they go through the nursing education program, and ensure inquiries are properly directed to the applicable recruiter for timely response
  • Assist with all nursing education activities as directed 
  • Update Avant databases and all applicable candidate records and reports as required
  • Prepare packages for shipping and maintain accurate tracking records
  • Represent the Avant Healthcare program in a professional manner, and build rapport and trust with applicants as they process with Avant 
  • Communicate updated information to other Avant departments, and attend and participate in meetings as required 
  • Submit and update reports to Manager and Director as needed

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to meet the essential functions of the job.

Education, Training, and Experience

  • Preferred Associates Degree and a minimum of 1-2 years related experience and/or training; or equivalent combination of education and experience
  • Ability to work independently, productively and well under pressure
  • Ability to learn and assimilate new and varied information quickly and efficiently 

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification

Work Environment:
  • This job operates in a professional office environment. This role routinely operates standard office equipment. 
  • Travel may be required

  • Internal: Daily contact with professional staff members, and contracted field staff.
  • External: Regular contact with vendors.
