Summary of Position Role/Responsibilities

Under the supervision of the SVP of Human Resources and Compliance, the Assistant Vice President of Cultural Transitions is responsible for leading and supervising the day to day operations of the departments including: US Transitions Program (USTP), Transitions Trip Support, Cultural Transitions, Nursing Education Travel, Transportation and Housing teams.  This role is responsible for the departmental strategic planning and development, hiring, planning, creating processes and workflows necessary to achieve desired objectives and services. Detect, process and resolve escalated issues and work with leadership to find positive outcomes. The AVP will also maintain and enhance the efficiency of the Cultural Transitions Department working in conjunction with the Director of Cultural Transitions, Director of Logistics and other department heads throughout the organization considering the high volume of Healthcare Professionals (HCP’s) going through the Avant program.

Essential Functions of the Job  

  • Direct and plan the development of all duties and responsibilities of the Cultural Transitions Department 
  • Supervise Cultural Transitions Director and the Logistics Director along with other selected members of the departments in order to make sure departmental goals and objectives are met
  • Monitor departmental activity, delegate tasks and follow up as needed 
  • Discuss and resolve escalated issues with the higher authorities as needed and develop resolutions; provide the departments with feedback and direction; Submit updated reports to SVP of HR and Compliance as needed 
  • Lead and/or participate in meetings with other team members and departments as necessary 
  • Review course content development for Live or LMS Cultural Transitions Program
  • Evaluate program effectiveness and develop initiatives to continuously improve the Cultural Transitions Program including Transitions Trips
  • Identify and work with leadership to resolve issues that arise during the Cultural Transitions program, during transitions trips or at anytime during the HCPs assignment
  • Communicate and work with the teams responsible for all healthcare professionals regarding social and cultural transitions to the US – can include International HCPs, US HCPs and Relocations
  • Assist the department Directors and Managers who supervises the Cultural Transitions departmental teams’ work with one-on-one meetings regarding their duties assisting HCPs to help with all identified needs to ensure a successful transition
  • Ensure each Directors and Managers have the ability and tools to enable the Transitions teams with providing logistical and emotional support during to HCPs during the Cultural Transitions Program
  • Ensure the Trip Support Manager supervises all Transitions Trip Support Specialists by providing strong communication, guidance and training for current and new Transitions Trip Support Specialist (TTSS)
  • Support and enhance all communications regarding HCP Trip details to TTSS’s via the Trip Support Manager
  • Direct the Cultural Transitions Director / Manager as needed on assignment of HCP to Cultural Transitions Specialist within ABMS
  • Oversee the management and supervision for the Group Split Spreadsheet – includes HCP name, HCP email address, assigned TS and assigned ESS – assign to Admin Support when needed
  • Support the Avant C.A.R.E. program as needed
  • Review documents with the Transitions Trip Support Manager from TTSS following Transitions Trip – i.e.: transitions checklist, lease copies, HCP photos etc.
  • Monitor ABMS Tasks and Transitions Work Flow fields accordingly for assigned HCPs
  • In conjunction with Transitions Trip Support Manager, monitor Weekly Transitions Schedule with other internal departments and disseminate to all necessary parties 
  • Review surveys and provide feedback for Managers, Transitions Specialist, Trip Support or program development
  • In conjunction with the Director of Logistics, ensure the team carries out the duties necessary for logistics, transportation, Avant Corporate Apartments and travel teams
  • Lead interviewing and selection process for open positions on the teams
  • If necessary, travel with HCP to assignment location, assist in apartment set up, meet and greet with client, HCP vehicle purchase or rental pick up, and city orientation

  • Establish SOPs 
  • Other operational duties as assigned

Normal Work Schedule

This is a full-time position and core hours of work are Monday through Friday 8:00 AM to 5:00 PM. This employee may work more than 40 hours weekly to meet the minimum requirements of the role. After hours work may be required for solving time-sensitive travel related issues.

Education, Training, and Experience

  • Minimum of a bachelor’s degree in business or associated field; Master’s degree preferred
  • Minimum 15 years related work experience is required 
  • Minimum of 10 years of direct supervision 
  • Minimum of 5 years working with field/remote staff
  • Outstanding communication and interpersonal skills
  • Strong ability in using MS Office (Excel, PowerPoint, Work, Outlook) and Adobe 
  • Intermediate competency with electronic database management and HRIS software preferred
  • Ability to travel as needed; up to 30% may be required

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or ability to obtain
  • Must possess an active driver’s license with an excellent driving record at all times during employment

Work Environment:
  • Job operates in a professional office environment. This role routinely operates standard office equipment. 

Communication 

Internal: Daily contact with professional staff members, and contracted field staff.
External: Regular contact with vendors.
