Summary of Position Role/Responsibilities

The Clinical Assessment Administrative Assistant provides administrative support to Clinical Assessment team with all administrative aspects of the clinical assessment process for Registered Nurses, Physical and Occupational Therapists working through the Avant process. 

Essential Functions of the Job  

  • Provide administrative support to the Clinical Assessment team in all aspects as required
  • Manage calendars for the team and assist in scheduling assessments and interviews for all Clinical Assessment Managers
  • Ensure all assessments are logged in the internal database correctly and in a timely manner against the correct Healthcare Professional (HCP)
  • Ensure that the appropriate Avant Resume Management (A.R.M.) questionnaire is sent to the HCP prior to the assessment with the Clinical Assessment Managers 
  • Assist in scheduling practice-interviews while liaising with Client Services as to the required timeframe for completion
  • Ensure the A.R.M questionnaire is reviewed and accurate before being finalized and loaded to the internal database (ABMS)
  • Update and ensure all Quickbase reports and applicable candidate records /documents are up to date 
  • Attend and participate in meetings with other team members and departments as necessary 
  • Attend 1:1 meeting with Manager and / or Director to discuss escalated issues and actual and potential resolutions and provide the team with feedback 
  • Submit updated reports to Manager /Director as needed 
  • Communicate updated information to other Avant departments as required 
  • Administrative duties and recordkeeping – database, reports 
  • Represent the Avant Healthcare program in a professional manner by building rapport and trust with applicants as they process with Avant 

Marginal Functions of the Job

  • Establish / maintain SOPs 
  • Other administrative duties as assigned

Normal Work Schedule

This is a full-time position and core hours of work are Monday through Friday 8:00 AM to 5:00 PM. 

Education, Training, and Experience

  • Minimum of a High School degree; Associate degree preferred
  • Minimum of 2-3 years of related administrative experience; or equivalent combination of education and experience
  • Excellent oral and written communication skills 
  • Advanced Microsoft office skills (Excel, PowerPoint, Word, Outlook) & Adobe required 
  • Intermediate competency with electronic database management and HRIS software preferred

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or ability to obtain

Physical Demands: 
  • Sitting for long periods at a time
  • Regularly required to talk or hear
  • Occasional lifting of office supplies up to 25 lbs.
  • Vision abilities including close vision and ability to adjust focus

Work Environment:
  • Job operates in a professional office environment. This role routinely operates standard office equipment. 


Internal: Daily contact with professional staff members, and contracted field staff.
External: Regular contact with vendors.
