Summary of Position Role/Responsibilities

The HR Coordinator will provide support and communication to the Field Human Resources department and Healthcare Professionals (HCPs) on HR related issues as directed.  This role will be the main point of contact for the resolution of HCP’s issues/problems in conjunction with other departments, as needed.

Essential Functions of the Job

  • Operate ABMS system and assist in maintaining confidential and employment-related data; develop data reports and metrics on a variety of HR issues
  • Assist and/or administer a variety of support duties including office clerical duties; responding to HCP issues; generating monthly and ad-hoc reports as required; verify employment inquiries according to established policy
  • Responsible for maintaining accurate personnel-related data in both paper and databases (Kronos, QuickBase, Field HR shared drive) to ensure confidentiality and compliance with records retention laws
  • Assist with updating HCPs assignment in Kronos after HCPs finish the Transitions program and/or change assignments
  • Assist the HR Compliance Specialist with updating Social Security Numbers and green cards of HCPs into the systems as they are received from the Employee Support Services (ESS) team
  • Keep track of HCPs new hire checklist completion in Kronos and provide assistance as needed
  • Liaise with other departments (Logistics, ESS, Payroll, etc) to ensure HCPs’ start date is correct and updated into the systems
  • Develop data reports and metrics on a variety of HR issues as needed
  • Responsible for ensuring the form I-9 / E-Verify for HCPs is completed correctly and on-time, and reverifications are being monitored and processed as needed
  • Responsible for office clerical duties to support all HR functions
  • Ensure timely adherence to notification reports in QuickBase as they relate to pertinent HR and HCP matters
  • Support the Field HR team on responding to HCP inquiries and time-sensitive situations with a sense of urgency
  • Partner with Field HR team and HR Compliance Specialist to ensure compliance with federal and state laws related to employment in all areas of HR

Normal Work Schedule

This is a full-time position, and core hours of work and days are Monday through Friday 8:00 AM to 5:00 PM.

Education, Training, and Experience

  • Minimum of an associate degree required; Bachelor’s degree in Human Resources, General Business, Organization Development preferred; will be considered a combination of education and experience
  • 1-3 years of experience in Human Resources or business environment preferred
  • Intermediate competency with database management and other HRIS technologies
  • Outstanding communication and interpersonal skills
  • Good organizational and time management skills
  • Excellent computer skills in Microsoft environment (Microsoft Office Suite – Word, PowerPoint, Excel, and Access; Adobe editor / FoxIT)
  • Able to contribute to the attainment of specific goals and results of the HR department and the organization

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or ability to obtain
