Summary of Position Role/Responsibilities 

The Recruitment Coordinator will be responsible for coordinating process and communication flow between internal staff, agents, and healthcare professionals (HCPs). This role will provide a seamless candidate experience from beginning to end to meet set department and company goals and objectives. The Recruitment Coordinator has to be self-motivated and takes initiative, accustomed to multi-tasking and meeting multiple, tight deadlines. 

Essential Functions of The Job 

  • Respond and communicate status updates to applicants as needed
  • Schedule and confirm interviews with a recruiter and follow up to ensure outcome is communicated to the applicant 
  • Partner directly with Senior Recruiters, to schedule interviews with international candidates at a high-volume
  • Send employment agreements and ensure all documentation is on file before transferring it to the Quality Assurance and Document Control departments, within 2 weeks of contract being returned
  • Update database and reports to include tasks, journal notes, documents, and screening exam scores
  • Monitor multiple systems such as internal database, learning manages system (LearnUpon) and RSS/ TSS 
  • Own and manage multiple schedules and miscellaneous projects
  • Assist with administrative tasks that relate to the day-to-day operations of the Recruitment process
  • Provide and receive necessary feedback to fine-tune scheduling process
  • Process all direct and agent healthcare professionals’ referrals and ensure they meet the requirements of the program
  • Attend and participate in meetings with other team members and departments 
  • Effectively communicate with individuals while they are going through the interview process.
  • Represent the Avant Healthcare program in a professional manner and build rapport and trust with applicants as they apply
  • Submit updated reports to Manager as needed 
  • Assist with company recruiting events as needed

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. 

Education, Training, And Experience

  • Minimum of an Associate degree; Bachelor’s degree preferred
  • 1-2 years of related experience and/or training preferred; or equivalent combination of education and experience
  • Must have excellent communication and written skills
  • Must be extremely organized, detail-oriented, and a fast learner
  • High proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe required
  • Ability to travel internationally

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification

  • Occasional lifting up to 25 lbs.
  • Vision abilities including close vision and ability to adjust focus
  • May be required to travel internationally up to 10%

Work Environment:
  • This job operates in a professional office environment. This role routinely operates standard office equipment.
  • Travel may be required


  • Internal: Daily contact with professional staff members, and contracted field staff.
  • External: Regular contact with vendors.
