Summary of Position Role/Responsibilities

The Employee Benefits Manager is an individual contributor supporting Avant Healthcare Professionals employee benefits administration functions. The Benefits Manager acts as a subject matter expert (SME) in the benefit plans offered to the all employees and liaises with benefit vendors on behalf of employees. The Benefits Manager processes benefit documents and oversees approval workflows for benefit-related changes, including enrollments, terminations and post-employment benefit offerings. The Benefits Manager also researches, analyzes and resolves benefit-related issues on behalf of field and corporate employees and provides on general health and welfare benefits. The Benefits Manager is responsible for staying up to date on applicable legal and regulatory changes, updates to internal policy and processes, and new system functionality.

Essential Functions of The Job 

  • Administration of all Corporate and field employee Benefits
  • Assist employees with health, dental, life and other related benefit questions and/or claims
  • Maintain employee benefits dashboard within the HRIS and validate benefit changes 
  • appropriately for proper payroll deduction
  • Manage employee LOAs through third party administrator
  • Coordinate benefit premium pre-payments during leave of absence and/or post-payments upon return from leave and communicates with employees as needed
  • Conduct benefits orientations and explain benefits self-enrollment system for Healthcare Professionals (HCPs) and Corporate
  • Works with the Plan Administrator for 401k to include processing all Roll Over and Contribution requests, notification of enrollment eligibility, plan audits to include 5500, and quarterly audits to ensure compliance
  • Distribute all regulatory notices as required by the Safe Harbor plan.
  • Assist SVP Human Resources and Compliance in obtaining statistics and information in renewal process of any health, life and retirement plans that benefit the company
  • Assist SVP Human Resources and Compliance in completing benefits reporting requirements, including ACA required reporting and ensure distribution of any required ACA notices
  • Liaise with all third-party benefit administrators to manage various benefits programs, such as group health, flexible spending accounts, dental, vision, accident, disability, life insurance, 401(k), and any others
  • Conduct system audits on a regular basis to ensure accuracy within all internal systems and databases
  • Plan and organize wellness activities in collaboration with the Engagement Committee to promote benefits and wellness 
  • Prepare a yearly budget for wellness activities and company swag to appropriately allocate all wellness funds provided by our healthcare vendor
  • Responsible for preparing and conducting annual open enrollment to include plan setup changes in payroll system, communication with all employees and post open enrollment audits to ensure accuracy between payroll system and carrier data
  • Collaborate with other departments, such as corporate HR, ESS and payroll to share valuable knowledge and data as needed  
  • Manage all workers’ compensation claims and ensure all reports are properly filed within our internal database and third-party administrator
  • Identify areas of improvement within the areas of workers compensation and benefits administration and come up with solutions to increase efficiencies

Normal Work Schedule

This is a full-time position; core hours of work & days are Monday through Friday 8:00 AM to 5:00 PM. 

Education, Training, And Experience

  • Bachelor’s degree in HR or other related field required; equivalent work and educational experience combination may be considered
  • CEBS certification preferred
  • Minimum of 7+ years of experience in benefits administration or related field including health and wellness benefits and 401k administration
  • Advanced Microsoft office skills (Excel, PowerPoint, Word, Outlook) & Adobe knowledge required
  • Strong presentation and communication skills 
  • Excellent knowledge and understanding of general benefits administration, including state and federal regulations surrounding FMLA, HIPAA, PPACA (ACA), ERISA and IRS regulations

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or the ability to obtain
