Summary of Position Role/Responsibilities

The Credentialing Specialist I will process primarily routine exam-type applications of credentialing for Healthcare Professionals (HCPs) working through the Avant process at a given time. The Credentialing Specialist I is responsible for ensuring this is done quickly, efficiently, and effectively. This role will troubleshoot issues and be required to give regular status updates to the team as HCPs progress through the credentialing process. This role collaborates with credentialing companies, other internal departments, and HCPs regarding processing times, progress, and timelines. The Credentialing Specialist I will also be responsible for assisting the Credentialing Specialist II and III as directed and supporting the team with administrative duties to ensure all tasks are completed for the credentialing process.

Essential Functions of the Job

  • Coordinate the credentialing application process with CGFNS or other credentialing companies for Registered Nurses in the Avant program for NCLEX, Placement, and VisaScreen Certification – primarily focusing on routine exam type credentialing processes
  • Focus on additional routine applications of credentialing as business needs arise
  • Guide and communicate with the HCPs through the application process and provide ongoing support as they go through credentialing, ensuring deadlines are met to issue credentialing reports
  • Communicate directly with the applicable credentialing agencies (CGFNS, Silny, etc.) to resolve issues promptly
  • Track and coordinate receipt of required documents from all third-party entities, which include but are not limited to: Foreign boards of nursing, US Boards of Nursing, Foreign Nursing Schools, and English Proficiency testing centers
  • Update Avant databases and all applicable candidate records and reports as required to ensure data accuracy
  • Request, process, and ensure all licensure related payments are entered through the PMS system and Expensify to meet weekly accounting deadlines
  • Provide administrative support to the Credentialing team
  • Attend and participate in meetings with Licensure and Credentialing, managers, and other internal departments or team members to discuss escalated issues, actual and potential resolutions
  • Submit updated reports to the Credentialing Manager regularly
  • Coordinate and assist with other administrative and recordkeeping duties
  • Provide exceptional customer service support with applicants by building rapport and trust as they move through the process for the Avant Healthcare program

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.

Education, Training, and Experience

  • High School Diploma or equivalent required, or equivalent combination of education and experience
  • Associate’s degree preferred
  • Minimum 1 year of experience in processing applications and similar administrative duties
  • Prior experience working with Nursing Boards and credentialing agencies preferred
  • Proficient with Microsoft Office products, Adobe, and electronic database management
  • Strong organizational and time management skills, while remaining accurate
  • Strong written, verbal, and interpersonal communication skills

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain
