Summary of Role/Responsibilities

The Cultural Support Specialist is responsible for supporting and coordinating all details of the transition process for healthcare professionals (HCPs) during the pre-arrival phase; as well as providing support and maintaining constant communication in the Avant Transitions Program (ATP) as the HCP adjust to life in the United States. This role will provide effective and personalized logistical and emotional support to healthcare professionals, to help them prepare for their arrival to the United States. Once in the US, The Cultural Support Specialist will coordinate all details of the transition process during ATP, as well as provide resources to support HCP’s while on assignment including but not limited to childcare resources, spousal employment, and assistance with relocation as required.

Essential Functions of The Job

  • Represent the Avant Healthcare Program with professionalism, fostering trust and rapport with Healthcare Professionals (HCPs) as they progress within Avant.
  • Cultivate positive working relationships with the ability to assist HCPs in navigating the physical, psychological, and emotional aspects of relocation, whether within one state, across states, or internationally to the US.
  • Facilitate effective communication and collaboration with healthcare professionals to ensure a smooth transition to the US and their respective assignments, including managing relocations as necessary.
  • Encourage innovative problem-solving approaches among HCPs.
  • Coordinate pre-arrival processes and directly communicate with HCPs according to their immigration status, ensuring all required information is provided.
  • Provide guidance to healthcare professionals in the pre-arrival stage regarding social and cultural adjustments to the US.
  • Manage document uploads and tracking prior to arrival, including Driver’s License, Driving Questionnaire, Transitions Prep Questionnaire, Emergency Contact Form, etc.
  • Confirm and update HCP details using the Transitions Prep Questionnaire (TPQ), scheduling pre-arrival calls to finalize details before their arrival in the US.
  • Maintain accurate records in internal databases and relevant candidate reports, updating as needed.
  • Generate and modify Market Analysis (MAP) and Client Resource Profiles (CRP) based on departmental needs.
  • Distribute the Client Resource Profiles to HCPs upon assignment confirmation, serving as the primary point of contact for inquiries.
  • Provide education on US culture and work standards to others as needed.
  • Assist HCPs in finalizing apartment searches, school selection, childcare arrangements, budgeting, and vehicle purchases.
  • Report issues to Cultural Transitions Manager and/or Director as necessary.
  • Collaborate with internal departments to develop customized action plans to support HCPs and address challenges.
  • Disseminate relevant updates to other Avant departments as required.
  • Attend Cultural Transitions Lectures and assist Cultural Transitions Instructors with Webinars as requested.
  • Communicate confidently through various channels, including email, phone, in-person, and during presentations.
  • Participate in weekly meetings to provide updates, address concerns, and contribute to finding optimal solutions for HCPs, clients, and internal departments.
  • Maintain and update company databases and reports, ensuring all stakeholders are informed of changes.
  • Support the internal CARE program needs and assist with HCP relocation preparations.
  • Travel with HCPs to assignment locations as needed to ensure successful relocation.

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.  

Education, Training and Experience

  • High school diploma or equivalent required; Associate’s degree preferred; or a comparable combination of education and experience.
  • 2-3 years of relevant experience in counseling, customer service, global mobility, or business fields required.
  • Preferred experience living or working outside the U.S. with the ability to engage effectively with international professionals.
  • Ability to offer practical solutions and resources to address the unique needs of international personnel, including community integration support.
  • Capability to handle emergency situations affecting international personnel calmly and decisively, providing necessary guidance and support.
  • Strong organizational and time management skills essential for effectively managing multiple tasks and priorities, ensuring timely delivery of support services.
  • Exceptional interpersonal skills to build trust and rapport with international personnel, fostering an inclusive and supportive environment.
  • Excellent written and verbal communication skills, coupled with strong collaboration abilities.
  • Proficiency in various software programs, including but not limited to email, Word, Excel, and PowerPoint.

Required Licenses, Certifications and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain. 
  • Must possess a clean and valid Florida driver’s license and satisfactory driving record with ability to be covered under Avant’s auto insurance policy.
