Summary of Position Role/Responsibilities

The Immigration Coordinator I will process immigration petitions for all Avant candidates. This role supports the Immigration team with logistic and administrative aspects of the immigration process for Healthcare Professionals (HCPs). This position maintains databases with accurate records and ensures all other requirements for immigration purposes are current for each applicant. The Immigration Coordinator I will communicate progress and timelines to HCPs and internal departments to ensure a smooth transition through the Avant process.

Essential Functions of the Job

  • Compose, copy, and scan documents to formulate petitions to be filed
  • Update all applicable internal databases with candidate records and reports as needed
  • Prepare packages for shipping and maintain accurate tracking records
  • Submit payment requests for processing and update Avant’s expense tracking system under the direction of the Director of Immigration
  • Coordinate information and documents to communicate directly with HCPs as needed
  • Contribute to ensure the monthly critical number is met as set by leadership team
  • Attend and participate in meetings with team members and/or other departments to communicate updated and relevant information as required
  • Maintain close communication with HCPs throughout the process to communicate progress and timelines as required
  • Manage databases and reports, to update and upload necessary critical documents to ensure accuracy and timeliness
  • Professionally represent the Avant Healthcare program by building rapport and trust with applicants as they move through the immigration process

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.

Education, Training, and Experience

  • High School Diploma or equivalent required, Associates degree preferred, or equivalent combination of education and experience
  • Minimum 2 years related office administration and/or immigration experience preferred
  • High level of interpersonal skills to handle sensitive and confidential documentations and the ability to organize and prioritize multiple tasks
  • Ability to effectively communicate (written and verbal) and collaborate with all levels of management
  • Basic MS Office (Excel, PowerPoint, Word, Outlook)

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain
