Summary of Position Role/Responsibilities

The Payroll Specialist III is responsible for assisting the payroll manager with overseeing the bi-weekly, multi-state payroll processing. This position functions in a “Lead” capacity and requires a detail-oriented person with significant knowledge of payroll processing.  The Payroll Specialist III will ensure accurate and timely preparation of payroll by following Avant payroll procedures and regulations while staying compliant with applicable state and federal laws and regulations. This role must assist the Payroll Manager in maintaining client company relations and providing excellent customer service.  

Essential Functions of The Job:

  • Process weekly timecards for assigned employees, including calculate retro adjustments as applicable
  • Inputs and verify the timecard data such as hours, paid time-off, shift differential pays and other miscellaneous times
  • Calculate overtime and other pay premiums and verify to payroll reports
  • Calculates and enters referral bonuses, non-shift work, and projected hours which requires receiving appropriate forms from client facilities and confirming hours to be paid
  • Calculates and enters facility related incentives which requires receiving appropriate forms from client facilities and confirming payment
  • Maintain current knowledge of applicable state and federal wage and hour laws
  • Assist in auditing employee timecards and payroll reports for accuracy
  • Follow scheduled processes to ensure all deadlines are met
  • Assist Payroll Manager in ensuring timecards are submitted and received on-time
  • Ensure all data is accurate and completed in a timely manner
  • Establish and maintain a positive working relationship with employees and supervisors
  • Assure confidentiality and security of records and information
  • Prepare, review, and audit timecard reports on a weekly basis or as needed
  • Act as a liaison between Payroll Manager and payroll staff and functions in a Lead capacity and team expert on all payroll-related questions
  • Collaborate effectively with other internal departments including Human Resources, Employee Support Services and Client Services as directed by the Payroll Manager, to resolve any employee time-keeping related issues such as reconciling PTO time and PTO payouts
  • Ability to be organized and produce accurate results while meeting established deadlines even when managing multiple priorities and frequent interruptions
  • Communicate effectively and tactfully with all levels of the organization
  • Assist with ad hoc projects as needed
  • Participate in client welcome calls
  • Assist ESS with the bi-weekly payroll presentations

Normal Work Schedule

  • This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job

Education, Training, And Experience

  • High school or equivalent degree required, associate degree preferred, or equivalent combination of education and experience
  • Minimum 5 years payroll experience required
  • Experience with handling at least a 1000-employee payroll; including shift differential rates
  • Experience with multi-state payroll
  • Communicates effectively in both oral and written communications
  • Maintain client and employee confidentiality
  • Excellent analytical and organizational skills
  • Works well in a team environment and the ability to work under pressure to meet deadlines
  • Extensive data entry skills and Excel spreadsheet proficiency required
  • Kronos Workforce Dimensions experience preferred

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or ability to obtain and maintain

  • This job operates in a professional office environment. This role routinely operates standard office equipment.
