Summary of Position Role/Responsibilities

The Payroll Support Coordinator will be responsible for supporting all timecard related functions and duties for the Healthcare Professionals (HCPs) under which they are assigned as a client to. This role will partner with the HCP Payroll team to ensure that timecards for over 1,000 field employees are submitted into the timekeeping system accurately and processed timely on a bi-weekly basis. The Payroll Support Coordinator will also be responsible for assisting the Payroll Support team and Payroll Support Services Manager in the audit or investigation of any timecard related issues or escalations as needed.

Essential Functions of the Job

  • Administer timecard checklist processes and follow set guidelines to ensure that all HCPs under assigned clients have timecards that populate accurately within the Kronos timekeeping system 
  • Ensure that all HCPs under assigned clients have accurate projected hours on their timecard based on contract information, through the review of internal payroll reports and comparison/validation of low census forms
  • Review and edit any auto-generated timecards that do not match internal payroll reporting or submitted payroll documentation
  • Review and audit internal hours reporting on a weekly basis for all HCPs under assigned clients to investigate or escalate as required
  • Review the bi-weekly payroll preview register ensuring that HCP pay statements are accurate and any errors or discrepancies are communicated timely back to the HCP Payroll team for correction, prior to final processing
  • Monitor the internal shared email inbox on a rotational basis, ensuring that all timecard documentation is captured and routed to the appropriate member on the Payroll Support team
  • Communicate with HCPs on a regular basis via phone or email regarding any timecard related issue or question
  • Review finalized paystubs as needed to ensure all earning, deduction, and shift differential codes match designated timecards
  • Assist and act as backup support to other members of the Payroll Support team for their assigned clients as business need or workflow arises
  • Collaborate with other internal teams such as HCP Payroll, Client Services, and Field HR to resolve any timecard related issues in a timely manner
  • Answer and investigate timecard related issues or questions from HCPs, clients, or other internal departments as needed
  • Maintain and update internal SOPs on an as needed basis or when workflow changes occur

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.

Education, Training, and Experience

  • High school or equivalent degree required, Associate’s degree preferred, or equivalent combination of education and experience will be considered
  • FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) designation highly preferred, but not required
  • Minimum 3 years of experience and/or training supporting a multi-state payroll
  • Experience and knowledge of the payroll function particularly with the interpreting of timesheet and pay statement data for non-exempt, hourly, or per-diem employees required
  • Experience supporting payroll within the Healthcare industry preferred
  • Ability to communicate effectively in both oral and written communications
  • Ability to ensure confidentiality and privacy of employee and client data
  • Proficient with Microsoft Office products, Adobe, and electronic database management  
  • Strong proficiency with Microsoft Excel and ability to conduct intermediate level functions (Pivot Tables, VLOOKUP)

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification or ability to obtain and maintain
