Summary of Position Role/Responsibilities


The Transportation Coordinator is responsible for overseeing transportation logistics for healthcare professionals (HCPs) in the Avant Transitions Program. This involves coordinating with external vendors and utilizing company vehicles to safely transport and accompany international HCPs to different locations across Florida for work-related appointments. By handling logistics and addressing any unforeseen challenges, the Transportation Coordinator ensures smooth operations within the team's transportation requirements. This role extends beyond regular business hours and may involve a flexible schedule based on business demands.

Essential Functions of the Job

  • Operate internal database systems and assist in maintaining confidential and employment-related data; develop data reports and metrics on Avant’s United States Transitions Program (ATP)
  • Maintain accurate personnel-related data in both paper and internal databases to ensure confidentiality.
  • Coordinate the transportation schedules and connect with various vendors including Uber Business, Avalon, and Mozio.
  • Provide support for transportation runs by driving the Avant vehicles as required, including SS Appointments, Custom Border Patrol (CBP) Office Appointments, and any other necessary transport needs.
  • Manage the vehicle fleet ensuring cleanliness, maintenance, and obtaining necessary permits and licenses.
  • Utilize the TransCal Application for processing all service requests directly.
  • Efficiently resolve transportation-related issues and challenges.
  • Collaborate with colleagues to coordinate transportation requirements.
  • Monitor transportation costs and recommend adjustments to minimize expenses.
  • Keep track of healthcare professionals (HCPs) arriving without country driver's licenses.
  • Perform office clerical duties to support Cultural Transitions Transportation functions, including maintaining accurate records, documentation, and expensify reporting.
  • Develop Resource Guides for Transitions Trips.
  • Create and update Market Analysis (MAP) and Client Resource Profiles (CRP) as needed.

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.

Education, Training, and Experience

  • High School Diploma or equivalent required, or equivalent combination of education and experience
  • Minimum of 2 years of experience transporting passengers, customer service, and/or related experience
  • Experience working with people from other cultures and diverse backgrounds.
  • Knowledge of transportation laws, regulations, and best practices.
  • Strong organizational and communication skills.
  • Ability to work in a fast-paced and dynamic environment.
  • Ability to focus on safety while operating a vehicle with multiple passengers.
  • Basic proficiency with Microsoft Office products, Adobe, and electronic database management
  • Excellent interpersonal, verbal, and written communication sills

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain.
  • Must have a valid Florida Driver’s License and satisfactory driving record.
