Summary of Position Role/Responsibilities

Under the direct supervision of the Director of Cultural Transitions, this position oversees all systems and documentation relating to company employee’s travel. This position exists primarily to be responsible for day-to-day support of travel management activities across the company. The role will be accountable for the delivery of efficient, cost effective, and comfortable travel services for employees. The Travel Manager will interface with individuals at all levels of the organization, as well as with suppliers.  This role requires to be customer service oriented and proficient with sourcing, negotiating, reviewing, administrating contracts and will have the ability to continue to improve sourcing processes across the company. 

Essential Functions of the Job  

  • Assist with day-to-day management of our vendors in Travel (Hotels, Airlines, Rail, and Ground Transportation)
  • Develop strong relationships with internal business partners and third-party vendors
  • Schedule and participate in Quarterly Business Reviews of service providers
  • Create and analyze periodic and ad-hoc reports
  • Manage travel coordinators to ensure the team meets travel policies, guidelines, and budget while delivering efficient travel arrangements
  • Resolve any problems with travel or accommodations and escalate as needed
  • Manage travel bookings for all transition trips, in coordination with the Transitions Trip Support Manager
  • Manage travel bookings for HCP’s going through the Avant NCLEX program, in coordination with the Nursing Education Manager 
  • Work with internal business partners to identify opportunities and enhance services received
  • Conduct monthly training sessions for new hires to educate them on the Travel program
  • Create and distribute quarterly travel reports to senior executives as required 
  • Co-Manage issuance and evaluation of Requests for Proposals (RFPs) from service providers
  • Monitor and troubleshoot various issues that arise from stakeholders and vendors
  • Identify new suppliers and innovative technologies for cost savings opportunities for the Company 
  • Suggest improvement and innovation in travel programs
  • Able to contribute to the attainment of specific goals and results of the department and the organization

Marginal Functions of the Job

  • Establish SOPs and a back-up plan for position duties.
  • Other clerical or operational duties as assigned

Normal Work Schedule

This is a full-time position and core hours of work are Monday through Friday 8:00 AM to 5:00 PM. This employee may work more than 40 hours weekly to meet the minimum requirements of the role. After hours work may be required for solving time-sensitive travel related issues.

Education, Training, and Experience

  • Minimum of a bachelor’s degree 
  • Minimum 5 years related experience with sourcing, negotiating or procurement role with a preference to a travel Industry or equivalent combination of education and experience required
  • Minimum of 3 years of direct supervision
  • Outstanding communication and interpersonal skills
  • Excellent organizational and time management skills
  • Ability to prioritize work load, meet deadlines and be detail oriented 
  • Professional appearance and manner 
  • Strong ability in using MS Office (Excel, PowerPoint, Work, Outlook) and Adobe 
  • Intermediate competency with electronic database management and HRIS software preferred
  • Ability to travel as needed

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification

Work Environment:
  • This job operates in a professional office environment. This role routinely operates standard office equipment. 

Communication 

Internal: Daily contact with professional staff members, and contracted field staff.
External: Regular contact with vendors.
